How Much Does CCaaS Cost?
CCaaS pricing looks simple per agent — until you read the order form. A vendor-neutral guide to what really drives the bill, what to budget and where SMB buyers can negotiate.
Mid-market CCaaS typically lands between roughly $80 and $200 per agent per month for voice-only, with omnichannel, workforce optimization, AI agent-assist and analytics adding $50–$200+ on top. Implementation, integration and recording storage are additional. The list price on a vendor's website is almost never the price you should pay; we routinely negotiate 15–35% off list.
Most CCaaS quotes start with a per-agent number that is easy to compare on a spreadsheet. The actual contract is rarely that simple. Below is the rough cost stack we see most often, with notes on where SMB and mid-market buyers should push back.
Where the CCaaS bill comes from
| Cost line | Typical range | Where to push |
|---|---|---|
| Voice CCaaS, per agent/mo | $80–$200 | Tier bundling, named vs. concurrent agent counting |
| Digital / omnichannel | +$20–$60 | Channel mix you actually use vs. a bundle |
| WFO / WFM / QM | +$30–$80 | Buy modular only — skip what supervisors won't use |
| AI add-ons (bots, agent-assist) | +$30–$200 | Pilot first, commit later; minutes vs. seat-based |
| Inbound minutes / DIDs | $0.005–$0.03/min & $0.50–$2/DID | Audit actual usage, push commit discounts |
| Recording storage | $0.01–$0.05/min/mo | Set a real retention policy |
| Implementation | $15K–$120K one-time | Often negotiable to 0 on a multi-year commit |
| Integrations & APIs | $5K–$50K one-time | Include in implementation SOW, not extra |
Where SMB buyers can push back
- Multi-year discount in exchange for an annual re-rate right at year two
- Cap on MRR escalators (5% is typical; 3% is achievable)
- Bundled implementation as part of the commit, not on top
- Pilot for AI features — usage-based, paid by the hour or call, not seat-locked
- Parallel-run period if you're migrating from a legacy platform
- Termination-for-convenience after year one with reasonable wind-down fee
